Find Schedule

The Find Schedule page allows you to search for existing schedules based on a complex set of criteria you define. Once you have located the desired schedules, you can select one from the search results and view or modify the schedule detail information.

If you want to view or modify groups of schedules, click the Schedule Management link.

To find schedules:

  1. Access the Schedule module by clicking the Schedule link at the top of the page.
  2. Select the Find Schedule tab.

    The Find Schedule page opens.

  3. Specify any of the following criteria to define the set of schedules you want to find:

    • Property Name – Click the Select link to find schedules associated with a particular property.
    • Region – Select a value to find schedules associated with a particular region. If a property is selected, the Region field is replaced by the Space/Floor field.
    • Location – If a property is selected, the Region field is replaced by location fields. Location is highly configurable. Your system may display one or more of the following criteria.
      • Space/Floor – Select a value to find schedules that occurred on a particular space or floor. Some systems group spaces and floors together and some use separate space and floor values.
      • Zone – Select a value to find schedules that occurred in a particular zone within the property.
      • Tower/Wing – Select a value to find schedules that occurred in a particular tower or wing of the property.
      • Floor – Select a value to find schedules that occurred on a particular floor within the property.
      • Space – Select a value to find schedules that occurred in a particular space within the property. You cannot select a space until after you select a floor.
      • Sub-Space – Select a value to find schedules that occurred in a particular subSpace within the property. You cannot select a subSpace until after you select a space.
    • Search Text – Enter a value to find schedules that contain the specified characters in their name, comments, or statement of work. This criterion is not case-sensitive but will only return schedules that contain the entire word or phrase entered.
    • Asset Class – Select a value to find schedules that have a particular class of asset associated with them. Asset class defines the type or classification of asset, for example, Boiler or Furniture.
    • Asset – Click the Select link to find schedules that have a specific asset associated with them.
    • Type – Select a value to find schedules that are associated with a specific type of work. If a type is selected, the SubType field appears.
    • SubType – Select a value to find schedules that are associated with a specific subType of work. The subType field only appears after a type is selected. You are not required to select a subType.
    • Schedule Status – Select a value to find schedules of a particular status. You can select Active schedules only (either generated, not generated, or all), Inactive schedules only, or both Active and Inactive schedules.
    • Assigned To – Click the Select link to find schedules that are assigned to a particular user. Click the Clear link to clear the user name.
  4. Once your search criteria are defined, click FIND.

    The following columns of data appear. You can sort the list by clicking any of the column headings.

    • Schedule Name – the name of the schedule; clicking this link displays the Schedule Details page, allowing you to modify the schedule, generate it, or activate or inactivate it
    • Recurs – the recurrence pattern of the schedule (daily, monthly, weekly, yearly, or seasonal)
    • Property/Location – the name of the property and optionally the tower or wing, floor, space, and subSpace within the property where the scheduled work will be done
    • Type/SubType – the type and subType of scheduled work that will be performed
    • Assigned To – the name of the user the scheduled work is assigned to
    • Asset – the name of any asset attached to the schedule; clicking this link displays the Asset Details page
    • Comments – the statement of work
    • Procedure – the name of any procedure attached to the schedule; clicking this link opens the procedure in another window, allowing it to be viewed or printed

    In addition to the search results, the following links are also displayed:

    • Print Search Results – Generates a printable HTML page containing the list of schedules returned in the results.
    • Excel – Generates a report, in Excel format, containing one row for each schedule returned in the search results.

Tips and Techniques

If the you feel that schedules are missing from the search results, the following troubleshooting tips may be helpful:

  • Try re-running your search and setting the Status value to Inactive. The schedule you are trying to locate may have been inactivated.

  • Not all schedules have assets associated with them. If an asset is entered as part of the search criteria, and no schedules are displayed, you can try to broaden you result set by removing the asset values.

  • Security rights might be configured to restrict your access to certain schedules. If you feel this is the case, contact your system administrator.
